Our buying house process identifies the vulnerabilities and risks in relation to your product and industry sector and we help mitigate risks by screening our suppliers and suggesting a clean and ethical procurement route. You can be assured of supplier commitment as all suppliers on the network are compliant to the Tadashie supply code of conduct and are moreover internally regulated by our ethical procurement programme where good practices are recognised, shared and rewarded. What type of information will you need from me?

We will need you to provide full details on your existing procurement process in relation to your inquiry with any further details that we request based on a case by case basis. We can schedule a time where a member of our team will review the process so we get the full picture.

How do I share information with you?

You do not need to send us any details until a member of our team has contacted you and reviewed the entire process with you. We will then request specific information (if required) after a mutual Non-disclosure agreement is signed between the two parties. The process may include demonstration of our bespoke risk management solutions for managing some of your existing challenges.

Will you verify my information?

Yes. All information provided to us is verified to ensure we don’t go down a path, wasting time and money. However, in order to work with you we will only request your company information which will be validated to ensure we are working with a registered entity and have the basic compliance checks done.

Can we start right away?

It depends. If this is just the buying house services we can start as soon as we receive your requirements for the item/equipment/material. However, if it is a bigger solution that you are looking for in relation to your supply chain process we may need to review your problem statement in detail before we can have a customized solution configured for your consumption. However, the good news is that our solutions are highly configurable and enable us to manage any set of risk elements depending on your requirement as well as we can set risk appetite based on your level of tolerance.

When does the scoping phase start?

Our onboarding team will email you a link to a client brief with questions regarding your solutions design. It is required that you fill out all the information requested, including uploading relevant compliance / Supply chain related data / records and answering questions listed to gather more  information for your project. It is imperative that you answer these questions, even if the answer is, “I do not know.” Once you have completed our questionnaire, please lock in your answers. Our consultation / solutions / procurement team cannot start their work  until you have confirmed that all of the information you have provided is completed. This allows us to work on possible options / solutions that are the best fit for you and we can prevent having to revise solutions / proposals, which can be frustrating for both you and our consultation / solutions team, as well as create delays in beginning the process.The Scoping phase starts once we receive a client brief from you and a $150 scoping fee. 

If you require assistance to fill out the client brief, there is a fee for any consultation exceeding 30 minutes, which is based on the number of hours thereafter. Please note the consultation would be always virtual in this case i.e. through online video /audio call.

How can I add to  the scope?

Once you lock in the answers on the client brief, it is recommended not to make any changes so that we can prevent having to revise solutions / proposals, which can be frustrating for both you and our consultation / solutions team, as well as create delays in beginning the process. However, if it is necessary, you can request a revision at any time during the scoping phase and Tadashie reserves the right to charge a revision fee for the extra labor necessary to fulfill the request. The amount will depend on the extent of rework and will be advised to the client. The rate may vary between $50 -$70.

What is expected in this Phase?

During this phase, we identify the requirements for your compliance  / supply chain / procurement needs and compile an organized  plan dictating the steps needed to be completed, along with a cost associated with the activity.

How long will this phase last?

Depending on the scoping work, a proposal is likely presented to you within 2-4 weeks from the time you locked in your answers on our client brief. However, this process can take longer than 2-4 weeks, however shall not exceed 60 days.

If the client is not satisfied with the proposal, what are the next steps?

Tadashie makes every effort to provide more than one possible solution proposal. This sometimes is not possible due to either your unique situation or the country you are looking to operate in and the  feasibility of the project and its objective. If we are only able to develop one solution proposal and you feel it is not a good fit for your needs, we can explore working on other alternatives or for proposals or adjusting the scope of the project.

The $150 scoping fee is non-refundable unless we fail to provide proposals within 60 days of the time you provide your existing data / records and answer any questions our Onboarding Team sends to you. 

Generally, when we are unable to provide a solution  proposal (or proposals) within that time frame, it is because the solution is not possible or the desired objective is not feasible. In this case, Tadashie experts will provide you with insight and recommendations for your next steps.

When does the execution phase start?

Once we receive a signed and approved Execution Contract from the client, the execution phase begins. This is accompanied by the release of a work order to Tadashie by the client and advance payment in part or full depending on the terms and conditions of the contract reached between Tadashie and the client. All agreed client requirements will be detailed in the work order and will be followed as per the terms and conditions set out in the final contract. 

How can I add to  the scope at this stage?

No addition to scope is possible at this stage. Any addition of scope will follow a new cycle and start at the review phase. For practical purposes, however, the review stage may be omitted and the consultant may decide to jump right into scoping. Records and documents of all stages are to be maintained by Tadashie team.

When does the pre-execution phase start?

When all client requirements as per the work order document has been undertaken by Tadashie, the execution  phase is concluded. The next stage  is post-execution, where the client can choose to monitor or review suppliers being utilised and receive alerts for specific risk areas . This phase remains ongoing till the client decides to terminate the contract with the suggested Tadashie supplier/s.

Scoping

  • No consultancy / Implementation will be completed (no process charts / suggestions / possible alternates will be produced) during the scoping phase. During this phase, we identify the requirements for your compliance  / supply chain / procurement needs and compile an organized  plan dictating the steps needed to be completed, along with a cost associated with the activity.
  • Our Onboarding Team will be emailing you a link to a client brief with questions regarding your solutions design. It is required that you fill out all the information requested, including uploading relevant compliance / Supply chain related data / records and answering questions listed to gather more  information for your project. It is imperative that you answer these questions, even if the answer is, “I do not know.” Once you have completed our questionnaire, please lock in your answers. Our consultation / solutions / procurement team cannot start their work  until you have confirmed that all of the information you have provided is completed. This allows us to work on possible options / solutions that are the best fit for you and we can prevent having to revise solutions / proposals, which can be frustrating for both you and our consultation / solutions team, as well as create delays in beginning the process.
  • If you have physical (paper) copies of documents you wish to provide, you can mail in those physical documents. We will scan those and upload physical copies of the documents to your project. There is a small fee for those physical documents to be returned, which is based on the number of pages. If you choose not to have your physical documents returned, they will be shredded. As an alternate solution, you have those documents scanned locally and provide just the digital copies to us – we recommend this option, to eliminate the risk of your original copies being lost in the mail.
  • If you do request a revision to a proposal after locking in your answers – indicating you presented us with all the information known about the compliance / supply chain procurement(s) – Tadashie reserves the right to charge a revision fee for the extra labor necessary to fulfill the request.
  • We can help you save money and time when you provide all records (which can include a compliance / supply chain charter, code of conduct, Anti Bribery and Anti Money laundering Standards, policies as well as implementation mechanism details which can be an access to you system if you use one or a flow chart representing the workflow of such mechanism). In case of a due diligence / procurement  request please also let us know where you have already searched for information so that we do not duplicate research; this can include websites and/or offline repositories, such as libraries and archives.
  • At times, it may be necessary to conduct preliminary phase(s) of research before we can focus on your ultimate objective. For example, if you are looking for ultimate beneficiaries or an identification of critical bottlenecks in your supply chain, it may be necessary to carry out a phase of research focusing on a management to beneficiary link  / Supply chain network mapping / procurement project mapping before we have the necessary information to provide you with a proposed solution. In the long run, this approach is much more cost-efficient and the chances of positive research findings are increased.
  • We’ll make every effort to provide consultancy / implementation proposals within 2-4 weeks from the time you locked in your answers on our client brief. However, this process can take longer than 2-4 weeks.
  • We’ll make every effort to provide more than one possible solution proposal. If it takes longer than 60 days for you to decide whether you would like to buy / or ask us to implement the proposal the cost for which would be charged separately, we reserve the right to allocate a different solutions team, if the original solutions architect / team becomes unavailable due to other commitments or any unforeseen circumstances.

Proposal

  • Compliance / Supply Chain  / Logistics proposals outline the scope of solutions development that is to be developed conducted by our consultation / solutions team(s). Due to the dynamic nature of the regulatory environment and supply chains, solutions outcomes cannot be guaranteed. Accepting and paying for a consultation proposal serves as an agreement for services rendered as outlined in the proposed solution plan(s), regardless of whether the solution results in positive or negative impact whether due to time taken by you or your representatives to implement or due to change in the regulatory  / supply chain environment. All solutions design will be shared with the client, as outlined in the accepted solution(s) plan(s).
  • The proposed solution / consultation is customized to the objective(s) agreed upon by the client at the beginning of the scoping phase. As such, objective(s) cannot be changed after accepting and paying for a consultation / solutions proposal. Subsequent phases of consultation / solutions design can be arranged if the client desires further consultation  / solutions design of additional objective(s).
  • In accepting and paying for a consultation  / solutions plan(s), the client acknowledges they have provided all information, previous data, procurement attempts, and records they have applicable to the consultation  / solutions subject(s) and objective(s) of this consultation / solution. All information and records provided by the client were reviewed by members of our team and consultant(s) to create the customized solution / procurement plan(s). If information and records were not disclosed by the client before payment we are not responsible for any duplicated solution / procurement efforts or actual procurement where material is paid for and procured the client is still required to pay for these efforts / procured materials.
  • When possible, we provide estimates of the time it will take to design and provide a solution. While we do our best to develop a solution as quickly as possible, there can be unforeseen and uncontrollable delays. As such, these are merely estimates and we cannot guarantee completion within the provided estimates.
  • We reserve the right to reassign your project to another professional in our network, at no additional cost to you, if the service provider becomes unresponsive, ill or unable to complete the project for any reason. This is to ensure you receive the solution / consultation paid for in the event the original allocated consultant / solutions / procurement personnel cannot complete the project.

Virtual Consultation

  • When purchasing a “Virtual consultation” service from Tadashie, you are paying for five hours of a consultation time, in addition to the time spent on your project internally by a member of our team; these five hours include pre-research in preparation for the consultation, a 30-60 minute initial discussion with the prospective supplier/s and the preparation of a document summarizing key points of the consultation and recommendations for next steps. Tadashie has the responsibility of reaching out to the client via appropriate internet platform three times after necessary meeting schedules are fixed, in an effort to schedule the consultation. If the client has not responded after three contact attempts, Tadashie will no longer be responsible for setting up the virtual consultation; however, the client can follow up with us at a later date to schedule the consultation.
  • Once a time for the consultation has been agreed upon, the client blocks out this time on their schedule and must be paid for this time. Any cancellations or rescheduling of the appointment must be completed at least two business days in advance (business days are defined as Sunday-Thursday, excluding United Arab Emirates public holidays). If notice is not given 2 business days prior to the Tadashie Team and/or any additional parties as per requirement; and does not make the consultation appointment for any reason, Tadashie will still be paid for that block of time. A new meeting /video call can be scheduled for a fee of  $100. A summary report of requirements and suggested steps and options within Tadashie’s portfolio of solutions is provided by Tadashie after the consultation appointment; whether or not the client attends their scheduled appointment time.
  • Accepting and scheduling a consultation serves as an agreement for services rendered, regardless of whether the client regards the service offerings of Tadashie as value adding or not towards their process. The proposed consultation is customized to the objective(s) agreed upon by the client at the beginning of the review phase and may end into the scoping phase. As such, objective(s) cannot be changed after accepting and locking in answers on your Project Brief. Subsequent consultations or phases of process can be arranged at an additional cost, if the client desires further consultation of additional objective(s).
  • In accepting and paying for a Virtual consultation, the client acknowledges they have provided all information, information on existing processes and requested documentation they have applicable to the procurement/supply chain/logistics objective(s) of this project. All information provided by the client was reviewed by members of our team and prepared for your consultation. If information were not disclosed by the client before payment, Tadashie is not responsible for any efforts that may not cover the full extent of the problem statement as presented in the project scope and client is still required to pay for these efforts.

Counterparty Due Diligence

Conduct due diligence on potential business transactions including agents, business partners, subcontractors, suppliers or individuals. We customize your reports to further enhance the level of investigation to be undertaken based on your selected risk areas and industry requirements.
